Adding a comment on behalf of Alex: The AI auto-schedule feature for specific tasks (with an on/off option) would allow users to maintain personalized planning, which is a core goal of Akiflow. This feature should enable users who prefer AI assistance to auto-schedule or move overdue/pending tasks, while still giving others the flexibility to toggle this feature on or off, potentially based on the priority level of tasks.

Came to assess this for several enterprise accounts. This feature is a must. Not even going to spend time evaluating on a tool that doesn’t see this as a priority. Leadership/dev team is naive if they aren’t already working on this.
There are a million and one ways to implement this tastefully. Whether it is burn down priority, # of items per cat per day, daily focus on a certain area. But to be getting this feedback, you need something to react to. And I don’t see any steps in the right direction on this. Don’t let akiflow fall too far behind! Even Apple made this mistake.
I’m happy to have a chat about this as someone sitting over several potential large enterprise accounts.

I came from Sunsama and Reclaim AI to Akiflow.
Reason no. 1: TimeBoxing with TimeSlots!
I love weekly/daily timeboxing. It helps me and my loved ones to allocate specific days for tasks in different life areas. For example, I reschedule all remaining “Wednesday’s private finance” tasks to the next Wednesday’s slot. This shift is perfectly implemented (especially after I found the search field 🙂). However, I have the freedom to move the most important private finance task to my “Saturday’s projects slot.” No other app I know has TimeSlots, which is why I chose Akiflow.
I think it’s challenging to instruct an AI to plan exactly as I want. Priority setting involves complex procedures. At the very least, I would like to actively confirm the changes the AI makes for me.
Another aspect is time tracking: I may schedule a task like “repair my bike” for 2 hours. After 1 hour, I might need to take my daughter to the hospital (which is the top priority). After the repair task, several other tasks are scheduled within different time slots (depending on life areas). Will the AI reschedule all tasks into the evening, or will it move the tasks of my life area to the same time slot next week?
It might be easier if the AI just considers priorities and reschedules the highest priority task into the remaining time of the day. Reclaim AI and Sunsama put a lot of effort into defining time windows for specific tasks/habits. This is important to consider. Currently, I replace this with weekly TimeSlots.
Regarding time tracking: To know how I spend my time and balance it across life areas, I need to make entries somewhere. As I do this in Akiflow, I’m forced to rearrange the undone tasks anyway. Where AI could help is by suggesting moving remaining tasks into the next suitable time slot of the same project. It could also sort tasks within a time slot by priority and due date. Given the priority and due dates, it could also define the exact start/end time of a task within a time slot.
Last but not least, it should allow the user to define rules for the AI, e.g., priority-driven, project/time-slot-driven, due-date-driven, or a mixture of them all.
Finally, I would appreciate a solution where I can define time budgets for all life areas/projects per week (differentiating holiday weeks). The AI should prioritize tasks/habits of those life areas where I did not spend the intended time and deprioritize tasks of areas where I already exceeded the time budgets.

About the tasks that needs replanning, inside the Time Slot on the bottom-right, you should see a button that says 'Replan Undone Task' this should allow you to easily move unmarked tasks to the next slot or any day or time in your calendar. Try it and let me know? :)

I've been a user of Akiflow for seven days before I discovered Motion, attracted by its AI-Auto Scheduling and integrated project management system. The glowing reviews, especially from Alex & Andrea on YouTube, convinced me to switch.
I spent an entire day transitioning from Akiflow to Motion, setting up and learning the new system. However, after trying it out, I decided to return to Akiflow. Here’s why:
The user experience in Akiflow is fantastic. Motion, on the other hand, has a calendar interface that I found cluttered and confusing. Tasks and events are poorly differentiated on the right side of the UI, with no options to group or filter them effectively. Adding a task in Motion felt cumbersome, with an input screen that disrupted my workflow, making it feel more like I was entering a complex technical ticket rather than a simple task.
I was particularly excited about Motion’s AI-Auto Scheduling, but it didn’t live up to the hype. I struggled to set up even basic routines, like scheduling admin work before lunch and customer outreach afterward, something I could easily manage in Akiflow. The AI didn’t seem to understand my needs, and I started to question the overall effectiveness of AI in scheduling. The parameters inputted often led to poorly planned scenarios, rather than optimizing my workflow.
In contrast, Akiflow respects the user’s ability to think and plan. It offers tools to enhance decision-making without taking control away from the user. I appreciate this approach, as relying too much on AI could diminish our ability to navigate our work lives independently—much like how overreliance on GPS can dull our sense of direction.
In conclusion, while Motion has potential, it didn’t work for me. Akiflow’s simplicity, user-friendly design, and respect for user input make it the better choice for my needs. I’m excited to see how Akiflow evolves, and I’m confident that any AI features they introduce will truly support users like me.

I agree with many below, that this feature will soon be essential for me to stay an Akiflow customer.
Also disagree with the “deciding consciously” argument that Stefania keeps making here. Imagine I hired a great human personal assistant to make my day schedules. I could give the assistant ground rules which would lead to similar (or better) scheduling decisions. They would still be made "consciously", but just outsourced to a different brain, so I can use mine for more important things. I could furthermore choose to review the schedule my PA makes, and adjust stuff consciously, also helping the PA learn and improve. Today’s AI can do all of this as well.
And finally, some people (like me with ADD) are actually bad at making conscious decisions about prioritization :) So I would be happy to outsource that to a smart human or effective machine.

Update from my end: By now, I've switched to Motion even though I have about 9 months paid left on Akiflow. To me, Motion's UI is quite bad and full of friction in scheduling and managing tasks. But, the killer feature is the AI (re)scheduling: that I don't have to worry whether the right stuff is scheduled correctly in my day, and I can ask the AI to automatically reassign stuff based on how my day changes. Honestly, it just removes a lot of clutter from my headspace and potential task anxiety. Just like having a really competent human assistant.
If Akiflow launched an automated scheduling feature that was about 60% as good as Motion, I would probably switch back to Akiflow, because I otherwise love the product.
From experience doing product at startups, I know it's impossible to please everyone. I'm sure you're deliberate about which customer types, needs, and use cases you focus on. Just sharing this as 1 data point.

I can't believe this is added in 2021 and is still not on the roadmap with the upvotes. I feel like Akiflow is getting stale with what they are giving users, and makes me question being a "believer". Meanwhile, Motion, Reclaim and even Sunsama are pushing in the right direction leaving Akiflow behind. At this moment in 2024, the ONLY advantage Aki has is integrations. The competition has everything else and more. Even with all of the integrations, Akiflow has just become a "dumb" Calendar IMO, as others innovate. Being similarly priced with the competition also hurts when there is no value-add.
